Provider: SECURE ONLINE PAYMENT SOP LTD, which operates this website and provides the Assistance described in these Terms.

Assistance: paid help offered on visit-japan-web.org to check the Client's information and enter it, on the Client's behalf and with the Client's authorization, on Visit Japan Web.

2. Purpose

This Website publishes travel information about Japan and allows Users to request help completing Visit Japan Web before their trip. These Terms define the contractual relationship between the Provider and the Users of the Website and govern every order for Assistance.

Placing an order for Assistance constitutes full acceptance of these Terms by the Client, to the exclusion of any other conditions. The Client confirms having read and accepted these Terms by ticking the corresponding box during the online ordering process.

3. Nature of the assistance

The Provider is an independent, paid assistance service. It is not affiliated with the Government of Japan or with any Japanese authority, administration, embassy, consulate or ministry. Visit Japan Web can always be completed directly, free of charge and without help on vjw.digital.go.jp.

The Provider's fees cover the assistance described in article 5 (checking the Client's information, entering it on Visit Japan Web and support) and not any government fee: the Visit Japan Web service is free. The QR codes are generated by the official Visit Japan Web system. Only the Japanese authorities carry out immigration and customs checks; the Assistance does not guarantee entry into Japan.

Authorization: by confirming an order, the Client authorizes the Provider to enter the information provided, on the Client's behalf, on Visit Japan Web, and confirms that this information is accurate and complete.

4. Ordering process

Step 1: the Client provides personal details and an address, accepts these Terms, then pays for the Assistance through secure payment.

Step 2: after payment, the Client provides the passport, flight, accommodation and stay information required by Visit Japan Web.

Confirmation: once the order is recorded and payment made, the Provider confirms the order by email.

The Client must provide complete and accurate information. Before paying, the Client can check the information entered and the total price.

5. Prices

5.1 Price. The Provider's price is €69 including taxes per request (one traveler): review of the request, entry on Visit Japan Web, follow-up and customer support.

The total price is always displayed to the Client before final confirmation and payment. Prices are displayed in EUR, including all applicable taxes; other display currencies may be offered for convenience at payment, but the EUR amount prevails in case of discrepancy.

5.2 Refund policy. No refund can be granted once payment is confirmed. The Client acknowledges that the Assistance is personalized help that begins as soon as payment is confirmed.

6. Payment terms

Payment is due at the time of the order. Payments are accepted by card only, through a secure payment system using SSL encryption, so that transmitted information cannot be intercepted by third parties. The Provider is only contractually bound to the Client once the card issuer's debit authorization has been received.

7. Processing times, changes and refusals

7.1 Processing times. The request is processed within the 3 days preceding the arrival date in Japan indicated by the Client (immediately if that date is 3 days away or less). The QR codes generated by the official Visit Japan Web system are forwarded by email, to the address given in the order, before the Client's departure. Any error in the information provided by the Client is the Client's sole responsibility.

7.2 Changing information. Once the QR codes have been forwarded, any correction requires a new request and may incur additional fees.

7.3 Decisions of the authorities. Immigration and customs checks are the exclusive responsibility of the Japanese authorities. No refund is granted in the event of refused entry or additional requirements on arrival.

8. Right of withdrawal

Given the nature of this assistance and the need to avoid delays harmful to the Client before travel, performance of the Assistance begins as soon as payment is validated and the Client's complete file is received, before the expiry of any legal withdrawal period, which the Client expressly authorizes and accepts.

Accordingly, in line with the usual consumer-protection principles applicable to services fully performed with the consumer's prior express consent and express waiver of the right of withdrawal (see for example the UK Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013, or the equivalent provisions applicable in your country of residence), the right of withdrawal no longer applies once the Assistance has been fully performed with your express agreement to start immediately.

This section is a general description and does not replace legal advice; consumer rights vary by jurisdiction.

9. Personal data

The Provider, as data controller, processes personal data to perform the Client's order and, more generally, for administrative and commercial management purposes, in accordance with the UK GDPR, the Data Protection Act 2018 and, where applicable, the EU GDPR. Full details (purposes, retention periods, recipients including entry of the information on Visit Japan Web, and your rights) are set out in the Privacy policy.

10. Liability

The Provider's role is limited to checking the Client's information and entering it, on the Client's behalf, on Visit Japan Web. The Provider is not responsible for decisions taken by the Japanese immigration or customs authorities, including any refusal, delay or additional requirement imposed on arrival. The Client remains responsible for the accuracy of the information provided and for meeting all other entry requirements applicable to the trip (visa where required, passport validity, return ticket, customs declaration on site).

11. Complaints and mediation

Complaints can be sent to support@e-visa.online or through the contact form. Clients residing in the European Union may also use a consumer mediator or the European online dispute resolution platform free of charge.

12. Governing law

These Terms are governed by the law of England and Wales. Any dispute arising from these Terms or their subject matter is subject to the exclusive jurisdiction of the courts of England and Wales, without prejudice to any mandatory consumer-protection rights you may have under the law of your country of residence.
